Since its establishment in 1987, the Early Identification Program (EIP) has been dedicated to empowering first-generation students in achieving their goal of higher education and thriving in academic environments. By providing access to academic and socio-emotional resources, we strive to bridge the opportunity gaps faced by motivated and talented first-gen students. About the Position:

The Part-Time Office Manager will be responsible for providing administrative and clerical support to ensure efficient operation of the Early Identification Program. This role will report directly to the Executive Director and will play a key role in managing office procedures, maintaining organizational systems, and supporting program activities. The Office Manager will also be a contact for program participants, staff, and external stakeholders. This position is an in-person role.

Responsibilities:

Administrative Support:
  • Manage day-to-day administrative tasks, including answering phones, responding to emails, and handling inquiries;
  • Maintain accurate program records and databases, ensuring confidentiality and data integrity; and
  • Coordinate scheduling and logistics for meetings, workshops, and events.
Office Management:
  • Organize and maintain office supplies, equipment, and inventory;
  • Assist in the development and implementation of office policies and procedures; and
  • Ensure the office environment is tidy and conducive to productivity.
Communication and Coordination:
  • Serve as a liaison between program participants, staff, and external partners;
  • Communicate program updates, deadlines, and resources to stakeholders as needed; and
  • Collaborate with team members to support program goals and objectives.
Fiscal Management Support:
  • Facilitate purchasing for program needs;
  • Assist in processing invoices, expense reports, and financial transactions; and
  • Maintain accurate financial records and assist in budget monitoring as directed.
Other Duties as Assigned:
  • Provide additional support to the Executive Director and program staff as needed; and
  • Contribute to the overall success of the Early Identification Program through teamwork and collaboration.

Required Qualifications:

  • High school diploma or equivalent;
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and basic computer skills;
  • Demonstrated organizational and multitasking abilities with attention to detail;
  • Highly developed written and verbal communication skills;
  • Ability to work independently and collaboratively in a fast-paced environment;
  • Ability to learn quickly and navigate digital platforms;
  • Ability to work with diverse program partners, students and families; and
  • Ability to communicate in or fluency in Spanish.

Preferred Qualifications:

  • Associate or bachelor's degree preferred; and
  • Previous experience in office administration or related field preferred.
