We are looking for a Facilities Manager to join Element Fleet Management. As the largest pure-play fleet manager in the world, we provide unmatched products and services and solutions to our clients.

As the Facilities Manager, you will be responsible for preserving the good condition of infrastructure and ensure that facilities are safe and well-functioning. This role will provide outstanding client service by site management, monitoring, and control of a commercial building or portfolio of buildings.

A Day in the Life

  • Manage day to day operations and maintaining best in class working environment for keeping Element spaces clean and safe.

  • Manage the site in accordance with all agreed policies, procedures, and scope of the property(s).

  • Identify opportunities for improved operation to drive efficiencies (process and cost).

  • Lead, plan, and coordinate all facility installations and refurbishments including mechanical, electrical, plumbing, carpentry, critical systems, and others defined within the portfolio.

  • Review and track utilities consumption and strive to minimize cost.

  • Support the implementation of innovative programs and processes that reduce short, and long-term operating costs and increase productivity.

  • Ensure compliance with all Health and Safety, Environmental and Risk Management policies and procedures.

  • Manage and allocate office space according to needs, reporting and churn activities and use of space management software.

  • Oversee vendors, ensuring services are delivered in accordance and the contract and to agreed standards.

  • Coordinate with other teams which may include fitness, food services, transportation, security, and capital projects.

  • Lead or support management in the implementation of short, and long-term projects.

  • Lead the vendor contract procurement process for facility items.

  • Create or update Standard Operating Procedures (SOPs) and emergency response documentation for the site as required.

  • Update and maintain accurate records and official documentation of the site.

  • Lead other activities to support site operations, including but not limited to moves, reconfigurations, events, safety, reception, and mail services.

  • Achieve or exceed financial targets and ensure effective, efficient, and economic operations of assigned responsibilities.

  • Create and manage budgets and perform financial analysis and forecasting.

  • Manage timely payments to vendors using available systems, complying with policies

  • Other duties as assigned

Requirements

  • Must have a Degree in Facility management, Engineering, Business administration or relevant field or equivalent experience.

  • Must have Proven experience as facilities manager or relevant position.

  • Well-versed in facilities management best practices.

  • Knowledge of basic accounting and finance principles.

  • Excellent verbal and written communication skills.

  • Excellent organizational and leadership skills.

  • Good analytical/critical thinking.

  • Relevant professional qualification (e.g. CFM) will be an advantage
